Receipt HUB in Poland
With the passage of time, paper receipts are becoming less and less convenient as a form of confirming a purchase. On September 15th, stores have the option of issuing electronic documents confirming the purchase. Digital fiscal receipts are considered by Polish law as a full-fledged proof of purchase.
E-receipts
A receipt is any fiscal confirmation of a purchase sent electronically. The current regulations allow for the issuance of a receipt in electronic form, but the problem arises when the receipt is distributed to the client. In order to standardize this process and streamline its course, the Ministry of Finance has created a mobile e-receipt app.
It will:
- distribute e-receipts to the client
- receive e-receipts issued from cash registers
- link the client to the cash register in question
How does it work?
The developers of the app ensure the anonymity of the user – the client will be assigned a unique ID.
The app will connect to the e-receipt distribution system to create an ID that the client will need. When making a purchase and wanting to receive an electronic receipt, the client should show the cashier their ID in the form of a bar code. Within a few seconds, the app gives the option to download the receipt. The client will have 30 days to collect the receipt.
Using the Receipt HUB
The receipt distribution system is a voluntary system – there is no legal obligation to introduce solutions enabling the distribution of electronic receipts to cash registers. In order to be able to use the HUB, the taxpayer’s cash register should have the software installed. There is no need to replace the cash register, and the software can be directly updated at the cash register. It should be noted that a receipt or invoice can be issued for any sale:
- in paper form, with the consent of the buyer,
- in electronic form after prior arrangement with the buyer, as well as using the SKAS system.
With the right software, the taxpayer will be able to issue a receipt in electronic form if the client requests it. If the system is no longer available for unknown reasons, then the seller will be obliged to issue a paper receipt.
What are the advantages of e-receipts?
The use of electronic receipts will bring a number of benefits, including availability at any time, which is particularly useful during returns or complaints. In addition, e-receipts are a recognized and legal form of confirming a purchase, and the client does not have to store them in a special place. The client’s data is stored in the app, which is secured with a PIN code or biometrics. A cloud-based solution allows the user to synchronize data across devices.
Currently, the use of the e-Receipt System is solely voluntary, both for clients and sellers.
