The office manager functions as the person responsible for managing the office and ensuring that the day-to-day operation of the office runs smoothly. This is an extremely vital role in any organization.   

Responsibilities of the office manager  

The main responsibilities of an office manager are:  

  • office management—coordinating the work of the office and ensuring that order is maintained,
  • administrative support of the office—taking care of administrative issues such as documentation workflow, organizing meetings or business trips,  
  • vendor management—working with suppliers and other service providers,  
  • budget management—controlling office expenses,  
  • solving day-to-day problems reported by office employees. 

What qualities should an office manager have?

An office manager should be skilled in excellent work organization, with the ability to coordinate a lot of office tasks. Another key skill is the ability to manage many responsibilities simultaneously. An office manager should be communicative and know how to establish and maintain interpersonal relationships. In addition, attention to detail will come in handy in this job, as coordinating the work of the office depends on many aspects. An office manager must be stress-resistant to handle difficult and stressful situations. Whilst working with suppliers, the office manager is faced with the pressure of deadlines or logistical issues that need to be solved immediately. The ability to make quick decisions also comes in handy as an office manager. 

Challenges in the work of an office manager 

The main challenge in the work of an office manager is the wide variety of duties. Most importantly, the office manager has to manage many tasks at the same time. Another challenge is coordinating activities from different departments, especially in companies that have a larger number of employees. The next difficulty that an office manager may encounter is the problem of prioritization. It may seem that every task assigned is equally important and significant, therefore an office manager must be able to prioritize the tasks to be performed. An office manager is responsible for day-to-day office matters but does not have control over strategic decisions in the company.
